Filing System

Organisation may be crucial for your business (like most) so that you can find documents whenever you need them. If this is the case, then the solution is a filing cabinet. If you look around, you will be able to pick one up second hand for around £20. If not, you will be paying over £50 for a new one although small storage boxes can be purchased individually for around £5 each.

If you buy a second hand filing cabinet, you need to check whether the cabinets/drawers work properly. If there is a lock or locks, do not forget to check whether they work properly, and also if there is actually a key (and spare) for them!

Desks/Shelving

Almost everybody needs a desk in the workplace whether it is for paper work, a computer or perhaps simply for storage. Desks come in all sorts of shapes and sizes, so be sure that you find one that is most comfortable and practical for yourself and your employees.

Simple desks can be found for under £100 and can stretch up to £300 for something that offers more facilities, space and perhaps more style. Know how much space you have in your workplace or things could get too crowded and impractical if you buy something too big, one large desk may be ok, but six large desks in a small office could seriously affect the quality of the working conditions.

Is the furniture you buy comfortable? Remember that either you or your employees will be using the furniture for many hours a day; something stylish but uncomfortable or oddly shaped can affect the comfort and productivity of your workers.

It is vital to know whether an employee’s desk is right for them. Is it at the right height to allow comfortable work; are there drawers or keyboard racks that affect the space available for using the desk? If you are in doubt then either take the person who will be using the desk to test it, or get an idea of the space and height they need to use it before buying.

If you have bought a PC and a desk to use together, are you certain that they will fit the spaces you expect? There are many different types and sizes of PC, and many different types of desks, by measuring the spaces you intend to fill, you can be sure that your purchases will work together effectively.

If you buy an item such as a desk, you need to know whether it is adjustable. If an employee leaves, and a new one takes over the desk, can they adjust it (or other items such as their chair) to make it comfortable for their use?

Shelving (or storage units) will be something that you will need if your workplace is used to store information (books, magazines, discs, CDs, etc). Again, you have to consider what space you have available and nothing that is too expensive. Pine wood is always cheaper than alternative woods such as mahogany and black ash.

If you buy a desk or item of furniture second hand, remember to test whether the moving parts are working properly (E.g.: Do the drawers open, does the keyboard rack move properly. You also need to make sure that if there is a lock, that it works, and that you are given a key to it!

Chairs

When buying chairs for your employees it is important to remember that they will be using them for many hours a day. They should therefore be as comfortable and supportive as possible, with the aim of your employees keeping a healthy posture.

By paying a bit more for adjustable height chairs with arm supports and a high-back, your employees can setup their work environment to be comfortable, and therefore be more productive. This is especially important when your employees are using computers, and may be sat in the same area for long periods of time.

Office chairs cost from under £30 to well over £200, depending on the size, material, adjustability (Some have adjustable/inflatable back support), and features.

Since in the modern age we spend such tremendous amounts of time in our workplaces, and at our workstations, it seems only fitting that more attention should be paid to our office environments. Having the right ergonomic office furniture and accessories is very important to being more comfortable and as productive as possible. Because new office furniture can be such a major purchase for you or your company, you should consider all your furniture options before making a final decision.

Specifically, consider modular office furniture, which is also frequently referred to as “contemporary office furniture.” This is not the same as standard workstation or office cubicle furniture. The freestanding furniture is not panel-mounted (attached to panels). This type of freestanding furniture can be used in a bullpen situation, which is a workspace for several people surrounded by panels for privacy (affectionately called a “cube farm” by many who have worked in them).

Modular office furniture has a great many advantages over furniture that is fixed in one singular spot. For one, you will save money on the cost of the panels, as well as on installation charges. Also, if you have a maintenance staff to take care of furniture installation, they can handle moving modular office furniture around quite easily. Little, if any, knockdown and reassembly is required. This is something to really think about when you are in the early decision-making process. Any hours spent wrestling with complicated installation of office furniture translates into a direct bottom-line effect to the comapny.

With modular office furniture, it is also a breeze to add any additional pieces when they’re needed. Modular office furniture is very flexible that way. If you think, down the line, you may want to add additional pieces of furniture or accessory pieces, find out what pieces can be ordered later. You might want to ask if there is any chance of that particular piece of furniture or line of furniture being discontinued.

There are also many options to pick from, as well. No matter what the style of your office modular furniture can be customized with materials, colors, finishes, etc. All major furniture manufacturers have their own versions of modular office furniture. You can shop at your local office supply store or catalog if you are shopping for a few pieces and you know what you want. If you are considering a major purchase, however, it is recommended that you go directly to your local office furniture dealership. An architectural or design firm can be helpful too, if you are consulting with one.

Modular office furniture encourages team work, and it is especially effective when staff share equipment, files, or other office essentials.

If you have started your own in-home business, one of the purchases you will eventually have to make is that of your home office furniture. Unless you already have an established client base, and know your business will be a money maker, you probably do not want to spend a huge amount.

On the other hand, if your business requires your clients and prospective clients to come to your office, you want your home office furniture, if not the best available, to be at least presentable. And your choice of home office furniture will also depend to a large extent on the kind of home business you have. If you are a free-lance writer, for instance, you may need nothing more elaborate than a quality computer desk/workstation and comfortable office chair.

Should you have a large client base and do a lot of paperwork, however, you’ll want filing cabinets for storage, as well as your computer area setup. If that be the case, you would be wise to get as much storage capacity as you need in one shopping trip; having to buy mismatched pieces as you go will destroy the professional look of your office.

Buying Smart

Discount and close-out furniture outlets are terrific places to shop for inexpensive home office furniture; many of them have clearance rooms with discontinued items and floor models reduced as much as 80%. Some office supply stores have periodic “scratch-and-dent” sales to move damaged or returned items. As long as the damage is not significant, and especially, as in the case of adjustable chairs, does not affect the furniture’s operation, you can find some excellent buys.

Keep It Real

Just remember to keep it real when you are shopping for home office furniture; a magnificent $3000 desk discounted to $1000, even if it is the best desk in the entire world, is not worth the money if you can’t get it through your office door. Know what your office will hold, and don’t buy a single stick of furniture more than that.

The result of successful office furniture project management is a project completed on time and on budget. If you are the person responsible for a office furniture project at your company, this information should be helpful to you. I remember when office furniture project management was easily defined; a Project Manager had valuable skills and specific responsibilities. In my experience, that is no longer always the case. Since my experience in this industry was in NYC, these problems may not be valid in your area.

Let me say that there are furniture dealerships that are extremely reputable and have capable staff members. With that said, there are also dealerships with inexperienced, unqualified staff members. Not all dealerships have the same internal structures. Here are several viable staff structures — all of which are effective with the right personnel:

At some dealerships, the Designer or Product Specifier may also function as the Project Manager. By the way, this situation works very well.

In some situations, the Sales Representative may assume some of office furniture project management responsibilities; such as suggesting the best products within your budget that meets your needs.

Another procedure is that the Project Manager doesn’t get involved until the delivery and installation phase. In this case, you need to find out who is responsible prior to that time.

Dealerships that own their own warehouses will have Foremen on staff. An experienced Foreman can be invaluable, and his responsibilities may overlap with those of the Project Manager.

Below is a list of tasks which may be the responsibility of the project manager.

act as the primary contact for all questions and decisions regarding the furniture for this particular project

attend “kickoff” or original planning meeting

evaluate any existing furniture to be reused

confirm field measurements of the space

collect data regarding the function and needs of your staff as well as discussing the projected growth of your company

attend construction or project meetings as needed

develop a furniture project schedule including delivery and installation dates that will meet your move-in date

prepare status reports with necessary updates

provide building manager with Certificate Of Insurance

review CAD drawings and product specifications

perform final walk through with client and compile punch list (if an architect or outside design firm is involved in the furniture, you will want them to be in charge of this walk through and punch list)

oversee all punch list work and get a sign off from the client when all work is completed to their satisfaction

In most cases your furniture dealership will be responsible for these tasks at no additional cost. However, there are times when it is valid that there are additional charges for some tasks.

Before finalizing your agreement and placing any orders with the dealership, you should discuss exactly what is included in the office furniture project management services you will receive. If this is your first experience with a particular dealership, you may want to ask that this be noted on your proposal or quote.

You should also find out when the PM will become involved in your project. It is not an unreasonable request to meet this person and discuss his or her experience and background.

Choosing a new desk for a home office can be a mind-boggling experience. Before you write a check or whip out a credit card consider these things.

1. Your needs. The key question to ask yourself, “Why do I need a new desk?” You may need a computer work station, a personal desk, a small secretary, or more storage space.

2. Size of desk. The desk you choose may depend on size. To see if a desk will fit lay newspaper on the floor. The Home Office Design Guide Web site says you should “always over estimate your space requirements.” Check the dimensions and make sure the desk will go through your office door.

3. Style preference. You have many styles to choose from: computer desk, L-shaped desk, U-shaped desk, executive desk, desk bases with matching hutches. Choose a desk that goes with the rest of your office furniture.

4. Special features. Tips for choosing a desk are posted on the Home Office Design Guide Web site and they include a clear desktop area, deep drawer for documents, another drawer for pencils, pens, stapler, paper clips, and enough leg space. The only way to determine if a desk meets your needs is to go to a store, examine the construction, and sit at the desk.

5. Materials. Desks are made of solid wood, Formica laminate, engineered wood, pressed wood, plywood, glass and steel, fiberboard, and medium density fiberboard (MDF). MDF is made of refined wood fibers glued together with resin. Unlike fiberboard, which can shift when humidity is high, MDF resists moisture. According to the Merbok Web site, “MDF is resistant to warp, moisture and compression.”

6. Construction. You may have this desk for a long time, so examine the construction carefully. Are the joints strong? Do the drawers slide easily? Is there enough storage?

7. Product reviews. Many Web sites have stylish desks at bargain prices. Despite the zoom feature, you can’t really examine a desk. However, you can read product reviews. One customer, for example, bought a carved base and matching carved hutch. Though the carving was excellent, the hutch part was so wobbly she had to screw it to the base. Reviews can keep you from making a mistake.

8. Price. How much are you willing to pay for a home office desk? An inexpensive desk may meet your needs if you are living in a temporary home. On the other hand, if you are settled you may want to invest in a quality desk that will last for years.

9. Shipping/delivery charges. Find out the delivery charge and when your desk is slated to arrive. Some Web sites have free shipping on certain days and/or coupons. Home stores may have free delivery in your area.

10. Your feelings. Choose a desk that makes you feel good because you are going to be sitting at for hours. Work goes faster when you are feeling good. With the right desk, your work may feel like play.

Style and innovation are no longer restricted to your homes when it comes to making a move for the purchase of those essential furnitures. Now, not only do people dress up their houses with tasteful furniture, but they fill up their workspace with pretty stylish and comfortable office chairs and desks too.

The inspiration behind the growing trend is quite obvious. People spend a major portion of the day at their workspace and need both comfort and style to aid them in their professional endeavours. The result is visible in the present age in the form of a great variety of office chairs and desks in various shapes and designs to appeal to the taste of all kinds of buyers.

With innovation making the rounds of each and every sector in today’s world, the furniture industry couldn’t have stayed behind. Now, the furniture market is flooded with ergonomically designed office chairs and more thoughtfully crafted desks for people who prefer professionalism with a dash of style. What’s more, more and more company owners are resorting to the application of glass desks as they portray more elegance as well as enable users to view the contents of the drawers even without opening them.

Another big reason why office chairs should be more carefully chosen is the impact that they have on the productivity of the work. The more comfortably the employees are seated; the better will be the outflow of work. Sitting at a workplace for eight hours is quite taxing on the body, and it requires a healthy seating arrangement for a smooth productivity as well as employee satisfaction.

Just like your home furniture, your office furniture require as much attention, and perhaps even more as they would emit professional vibes to build an environment of its own. So, its best advised to be really careful when making a move to buy the office desks and chairs for all the employees. The safest way to start off on this quest is by browsing online for all the furniture providers in the UK and scanning their work.

Going by the trend, office desks are always more important than office chairs as they hold most of the accessories in and around the office.

Most employees spend the majority of the day sitting in their workstation, being comfortable should be important. When it comes to proper positioning, sitting correctly and making sure the equipment is at the right height, is most important. Improper positioning can lead to serious problems such as carpal tunnel syndrome or tendinitis. These can make typing, holding paperwork and even using the telephone difficult and sometimes impossible.

When suffering from the effects of one of the problems caused by improper ergonomics, a worker cannot usually even perform the most standard of office tasks. Many new ergonomic office equipment and furniture features are available and new advancements and discoveries are constantly being created to help with positioning in the best possible position.

Carpal tunnel is usually associated with workers who spend a large portion of their day in front of the computer typing and is thought to be caused by improper wrist positioning and inability to relax the arm while using it to type. The mouse can also be placed at an improper height, forcing the user to have difficulties keeping the arm at the relaxed position. Tendinitis is also caused by improper wrist positioning and can be avoided with ergonomic equipment and proper positioning once installed.

The chair is really the most important ergonomic device in the workstation as the user spends most of their workday sitting in the seat and putting stress on the muscles and spine. It is found through study that the proper sitting position is not truly an upright position but slightly reclined. In order to keep the proper postion, a chair with a tilt mechanism, preferably one that can lock into several positions is needed.

If not seated properly in your office chair, it can cause back and lower lumbar problems eventually and can be easily avoided if educated on ergonomics. Carpal tunnel, tendinitis and back pain can be avoided as easily as paying attention to proper workstation and body positioning and letting ergonomics take the credit. Educating employees and ourselves in ergonomic techniques is the first step to preventing such work related injuries and avoiding problems.

Furniture. What would we do without it? Sit on the floor most likely. Whoever invented furniture did mankind a great service. And it has so many uses.

For starters, there’s the furniture we use for our work. There are more kinds of furniture for work purposes than we probably need. But then again, maybe we do.

Take your standard desk. Well, maybe not so standard. There are many kinds of desks. Desks with drawers, desks without drawers, which are primarily made simply to keep stuff on. What kind of stuff? All kinds. Printers, computers, fax machines, telephones, and the list goes on and on. Of course desks come in all sorts of shapes and sizes. There are rectangular desks, square desks, oval or circular desks which are used mostly for those company meetings. There are big desks that can span half a room and small desks that can fit in the corner. Then of course your have your L shaped desks so that you and a co worker can work together without getting in each other’s way.

Of course no office furniture would be complete without chairs. There are plenty of those to choose from as well, some more comfortable than others. You’ve got your hard chairs with absolutely NO padding whatsoever. Basically they’re a couple of legs, hard wooden seat and hard wooden back. Kind of like the chairs your school teacher would put you in and stick you in a corner with when you were bad. But then there are the really NICE office chairs. You know the ones I mean. They have steel tripod supports, leather seat and back, swivel around and so comfortable you could fall asleep in them. Somewhere in between you have your felt foam seat chairs with felt foam backs. They’re not as comfortable but you can sit in them for an 8 hour day.

Then you have your carts. These are mostly used for your Mr. Coffee that sits in the corner of the room so that you can get your caffeine fix when you need it. No office would be complete without a cart of some kind. The good thing about them is that they’re small enough not to get in the way and big enough to do the job.

Then of course there are the filing cabinets. Have you ever seen an office that didn’t have a filing cabinet? These also come in all shapes and sizes. There are the long cabinets usually used for storing irregularly shaped and large documents. Then there are your standard filing cabinets for storing manila folders. Most of these come with special racks inside so you can hang your documents up and not have to worry about them falling all over the place.

Yes, there is a ton of office furniture to choose from and based on the kind of office you have and the kind of decor you want to display to your workers will determine to a great extent what kind of furniture you get.
